SecureMail
What is it?
SecureMail allows files to be shared via email with 2 factor identification
How does it work?
You can either print to the SecureMail Queue or scan and SecureMail a document from Ricoh MFD’s (HP, Xerox and Lexmark coming soon). The recipient uses a verification code retrieved via email, SMS or Call to authenticate and retrieve the attachment.
How is it Valuable?
It makes it easy and secure to transfer large files. As the attachment is encrypted in transfer and stored securely, it is almost impossible to be intercepted.
Redaction
What is it?
Redaction can block out sensitive information when printing
How does it work?
Redaction can block out Credit Card #’s, email addresses, or custom information when a file is printed.
How is it Valuable?
Automatically prevents private information from being seen by inappropriate people
Quota
What is it?
Limits can be set on both Colour and Black & White printing
How does it work?
User Groups can be set up or imported and a quota set up for Colour and/or B&W printing, based on quantity or monetary amount (which can be customized for both types of printing). As well, the time period of the quota can be set as well as carrying over the credits to the next time period.
How is it Valuable?
Easily control costs by setting maximums for printing.
PF 360 Mobile
What is it?
PF 360 Mobile is an app for iOS and Android that allows you to release SecurePrint Jobs and scan documents with your device.
How does it work?
To release SecurePrint jobs you go to the MFD and scan either a QR code on screen or a physical QR code and see your jobs to release them in front of you. You can also use your device’s camera to scan documents and convert them to PDF and then email or fax them or send to Google Drive, OneDrive, SharePoint, CapturePoint and SecurePrint.
How is it Valuable?
Using SecurePrint you cut down on waste by ensuring the job is not printed until you are at the MFD. This also ensures private documents remain private. With the scan to different destinations you can print out documents, read and sign them and then send them to their destination without having to go back to the MFD.
MFD Connector App
What is it?
The PF 360 Connector App is an app for certain Ricoh, HP and Xerox (Lexmark coming soon) that allows you to release SecurePrint Jobs and scan documents with your device while enabling Admin to keep track of jobs.
How does it work?
You can use Personal Access Codes, one Time Codes, email or badge to scan into the app. Once in, you can see and release your SecurePrint jobs, copy and also email or fax them or send to Google Drive, OneDrive, SharePoint, CapturePoint and SecurePrint.
How is it Valuable?
Using SecurePrint you cut down on waste by ensuring the job is not printed until you are at MFD. This also ensures private documents remain private. With the scan to different destinations you can easily send them to your recipient various ways without external equipment. IT can track all jobs from the App for Auditing Purposes.
Security
What is it?
We take data security very seriously. We also want you to be able to print out private or confidential documents securely.
How does it work?
We are Soc2Type2 Certified. We are ISO 27001, 27017and 27108 Certified. Also GDPR and HIPAA compliant. Our InfinityCloud Platform is hosted in Multi Tenant Azure so data is kept secure and separate from other clients data. To get into SecurePrint on the connector app, you can use Personal Access Codes, one Time Codes, email or badge to enter the app. Once in, you can see and release your SecurePrint jobs. For devices we don’t have a connector for, you can log in via a vPad Pro 2 device or using a QR code on the PF 360 Mobile App.
How is it Valuable?
Our security measures keep you data safe and we are audited regularly on the Soc2 Type2 and Iso standards so you know we are following best practices. Using SecurePrint you cut down on waste by ensuring the job is not printed until you are at MFD. This also ensures confidential documents remain confidential.
Reporting
What is it?
With InfinityCloud you can track jobs whether they are Printed Documents, Scans or copies.
How does it work?
All print jobs through InfinityCloud are tracked for details such as who printed how much to which printer when. As well, any jobs on the PF 360 Mobile or Connector App are tracked. Administrators can set up automatic reports by user group, department, printer or even user.
How is it Valuable?
This allows auditing of usage to see any excess usage or to see if there are certain devices that could be retired to save money.
CP Integration
What is it?
Documents can be sent to CapturePoint for processing.
How does it work?
With InfinitySend a vendor can print their Invoices directly to their Client’s CapturePoint for quicker and easier processing with tracking of the invoices.
How is it Valuable?
This makes it easier for both Vendor and Client as they can both see where any given invoice is by checking their dashboards and allows invoices to be paid faster.
